Who we are and what this policy covers
SEE Reports is operated by Aftershock Solutions Pty Ltd (ABN 76 140 285 669). This policy explains how we handle personal information when you visit seereports.com.au, use a free property tool, contact us, request an introduction to a partner, or purchase and use a report service.
We aim to handle personal information consistently with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply. This policy should be read with any shorter collection notice shown when you submit a particular form.
Information we collect
The information we collect depends on how you use the service. It may include:
- your name, email address, business name and contact details;
- the property address, Lot/DP and planning information connected with your enquiry;
- proposal descriptions, dimensions, answers, drawings, plans, photographs and other files you provide;
- order, invoice and transaction details;
- messages, support requests, feedback and records of our communications;
- device, browser, IP address, referral source, pages viewed and other website-use information collected through essential logs and analytics technologies.
Payment card details are processed by our payment provider. SEE Reports does not intend to receive or store your complete card number or security code.
How we collect information
We usually collect information directly from you through website forms, emails, document uploads, purchases and support conversations. We may also obtain address and planning information from mapping providers, the NSW Government, local councils and other public or licensed data sources.
If you provide personal information about another person, you must have authority to do so and should make them aware of this policy where appropriate.
Why we use it
We may use personal information to:
- match an address and provide property or planning-context results;
- screen whether a proposal appears suitable for the standard report pathway;
- prepare, check, deliver and update a Statement of Environmental Effects;
- process orders, issue receipts, prevent fraud and maintain service security;
- respond to questions, complaints, correction requests and support needs;
- improve the website, tools, report workflow and customer experience;
- make a consent-based referral to an independent service provider;
- comply with legal obligations and establish or defend legal rights.
Where consent is the basis for a particular use, you may withdraw it by contacting us. Withdrawal will not affect processing that has already lawfully occurred.
Automated processing and AI
Parts of the service may use rules-based automation and artificial intelligence to organise property and proposal information, identify relevant assessment topics, flag complexity, and assist with drafting or checking report content. These systems do not determine whether a council will accept or approve a development application.
An automated screen may indicate that a project appears suitable, needs more information, or should be considered for specialist assistance. Customers must review the final report against their plans, source material and current council requirements before lodgement. You can contact us to query a result, provide corrections or ask for an explanation of the information used.
Who we may disclose information to
We may disclose relevant information to service providers that help us operate the service, including cloud hosting, analytics, mapping, address search, email delivery, document generation, customer support, security and payment providers. We may also disclose information to professional advisers or authorities where reasonably necessary or legally required.
If you ask to be introduced to Simply Draft or another independent provider, we will obtain your consent before sending that provider your contact or project details. The independent provider will handle the information under its own privacy practices.
Some technology providers may process information outside Australia. Countries can vary according to the provider and service location. We take reasonable steps appropriate to the service and applicable law when selecting and working with providers.
Analytics, cookies and external services
We use limited browser storage, cookies and similar technologies for essential operation, security, address functionality and website analytics. Google Analytics may collect information about visits and interactions. Google address autocomplete may process the address text you enter when that feature is activated.
You can limit non-essential cookies through your browser or device settings. Blocking some technologies may affect address search or other website functions. External websites linked from SEE Reports have their own privacy practices.
Storage, security and retention
We use reasonable administrative, technical and organisational measures to protect information against misuse, interference, loss and unauthorised access, modification or disclosure. No internet service can promise absolute security.
We retain information only for as long as reasonably needed for the purposes described here, to provide any purchased service, maintain business and tax records, resolve disputes and meet legal obligations. When information is no longer required, we will take reasonable steps to delete it or de-identify it.
Access, correction and complaints
You may ask to access or correct personal information we hold about you. You may also ask us to delete information where we are not required to retain it. We may need to verify your identity and, where the law permits, explain why a request cannot be fully completed.
Send privacy requests or complaints to support@seereports.com.au. We will acknowledge the matter and aim to respond within a reasonable period. If a privacy complaint remains unresolved, you may be able to contact the Office of the Australian Information Commissioner.
